Managing All Applications

This guide provides the necessary steps to browse, filter and manage your Applications by clicking on “All Applications” in the side menu. 

Filter and Searching

  1. Visibility Rules: By default, "All Applications" only shows candidates in Active, Inactive, or Draft projects. Candidates in Archived projects are hidden unless specifically added to the filter.
  2. Advanced Filters: Admins can filter by specific form answers (dropdowns or multi-select), background check status, or system data like "video interview incomplete" or "skills test score".
  3. Rater-Specific Filters: Raters can use the "Unrated" filter in the My Ratings section to automatically hide candidates they have already reviewed, leaving only those who still need a rating.

Note: If you have filters set you may not be seeing all the information and you can click the “Reset” action button at the top right to set the filters back to Default.


Here you are able to search by candidate name or email address used when applying to your respective projects.

Note: If you’re searching for a candidate under ‘All Applications’, it’s important to remember that candidates are filtered to only show ones that are in Active, Inactive, or Draft projects, but not archived projects. You’ll need to add archived projects to the filter if you want to see those candidates in the list.

There are a number of filters available in the top section of the screen namely:
  1. Stage - You can filter by an individual or number of stages based on your Organisation Settings.
  2. Tags - Filtering by tags you have already created or you can create new tags or set tags to a candidate next to their name on the application screen:
    1. Click on “Add Tags +”
    2. Specify the name of the Tag and click on the ”+” button.
    3. Click on the Save Action Button to save the Tag.

NotesNote: Once a Tag has been created it cannot be edited or deleted. It can only be removed from an application.

  1. My Ratings - You can filter by a selected rating (Yes, No, Maybe, Unrated).
  2. Raters Completed - Here you can filter by a rating category or by specific assigned raters.
  3. Video Interview Status - Here you can filter by the status of the Video Interview (Completed, In Progress, Incompleted).
  4. Average Rating - Here you can filter by the average rating given to candidates by raters (Yes, Maybe, No, Unrated).
  5. Project - Here you can filter by a specific Project or Project(s).
  6. Departments - Here you can filter by department(s) as per the setup in your My Organisation settings (Found in the Organisation Structure Tab).
  7. Project Status - Here you can filter by Project Status (Active, Inactive, Draft).
  8. Assigned Raters - Here you can filter by specific assigned raters.

Core Interface Components

The interface is designed for high-volume review and asynchronous collaboration.
  1. Candidate Profile: Every application profile displays the candidate's name, current stage, and assigned tags at the top. 
  2. Average Ratings: All users, based on permissions, can see a candidate's average rating represented by a coloured smiley face to the left of their name in the candidate list.
  3. Suitcase Icon: This icon appears next to a candidate's name if they are linked to other projects within the organisation. Clicking it allows users to see past applications, their final stages, and average ratings. If the suitcase icon has a red arrow this means that an HR user in the organisation has moved this candidate into the specific project.
  4. Audit Trail & Chat: The interface includes a chat section for panel discussions that maintains a permanent audit trail and allows for file attachments and @ mentions of other raters.

Information Visibility

The data available to a user in the applications interface depends on the project's Rater Settings and the user's permissions:
  1. Comprehensive Data: A candidate's comprehensive application profile with all info: Form data, document uploaded (if document fields were in the form), skills test results (if used), background checks results (if used), psychometric results (if used), every interview question's video answer.
  2. Restricted Data: Project creators can choose to hide sensitive information (like psych results or background checks) or even blur candidate videos for specific projects.
  3. Rating Visibility: Candidates' ratings are generally hidden from other Raters by default, but settings can be changed to show them after a rater submits their own final rating.

Application Handling

The interface allows for direct actions on a candidate's file:
  1. Stage Management: Users can move candidates between custom recruitment stages using drag-and-drop functionality on the Stage View.
  2. Deletion: Only System Managers or Administrators can delete an application. This action is permanent and removes all associated data, though transaction logs will remain in the history without the candidate's name.
  3. Copy & Link: This feature allows users to manually add a candidate to a new role, carrying over their initial application information. Candidates who've applied to other positions in the org are indicated with a suitcase icon next to their name. The rater can click on this icon to see all past applications with their associated stage the candidate ended up in and their average rating for that application.
NotesNote: Users without access to a linked project can still see the suitcase icon. When they click the icon they can see the names of all linked projects, the stage, and the average rating, but they won’t be able to click on any project that they don’t have access to.
