Email Templates, which are accessible to System Managers and Administrators, allow you to standardize your communication with candidates. Create a template once and use it whenever needed. Emails be sent automatically directly from the Wamly platform. You can use system generated emails or create your own templates.
Types and Setup
There are two primary types of automatic emails configured during the project setup process:
- Invitation Emails: Sent to candidates who are manually uploaded into a project by a user. Note that candidates who apply on their own do not receive these automatic invitations.
- Email Reminders: These are optional messages with customisable frequency (every 1–10 days or weeks) and a set total number of messages (1–10). Reminders stop automatically once a candidate completes the application journey, the message limit is reached, or the project is deactivated.
Configuration and Customization
- Agile Logic: When an email template is added to a project, it is copied rather than linked, allowing users to make project-specific adjustments without altering the original master template.
- Reply-To Address: The default reply-to address is set to the project creator, but this can be modified during Project setup.
- HTML & Source Code: For organisations with specific design requirements, users can use the source code editor to paste HTML code from their design teams, ensuring emails meet corporate branding standards.
- Departmental Restrictions: Templates can be assigned to specific departments. While users can generally see and duplicate templates from other departments (if allowed), they must duplicate a template before they can use it in their own department.
To access the Email Templates Library click on Templates > Email Templates in the left hand side menu.
- To create a new email template click on the “Add New” button at the top right of the screen.
- You are able to Duplicate, Edit or Delete existing Templates by clicking on the three dots on the right hand side of a Template in the Email Template Library.

- Upon creating a new template, you will need to specify a Template Name and Subject Line for the email that will be sent.
- You will also be able to specify the Template Type if it is for a Candidate Invitation email welcoming them to the application process or a Candidate Reminder email to remind them they still need to complete their application.
- A Department can be specified if the email template is for a specific department, though the default is to “All departments”.
- You can allow administrators in other departments to view and duplicate this template.
- Every email template allows you to customize the branding by inserting images or links, the content of the message and insert dynamic fields.
- A Dynamic Field is a field you can enter into the email body so that it remembers or fetches a specific name (i.e Candidate Name) or data field (i.e. Project Name).

- Once you are done with drafting out the Email Content you can click on the “Create” Button at the top right corner of the menu to add it to your Email Template Library.
- If you make any changes to an existing Email Template ensure you click on the “Update” button at the top right corner of the menu.
