This guide provides the steps necessary to review and modify your organization Stage details within the Wamly platform.
Key Logic and Configuration
- Customization: You can add, remove, and reorder stages to match your internal hiring pipeline.
- Project View Interface: Stages are used in the project view, where you can move candidates between them using drag-and-drop simplicity in the Stage View.
- Administrator Restrictions: Administrators can only manage stages for projects within their allocated departments.
Key Impacts of Using Stages
- Segmentation: The main intention behind Stages is to tag candidates, ensuring that progress is ordered and grouped. This can also be used in a “Funneling” format to track the progress of the candidates that have applied in their different Stages.
- Flexibility: Can be customized freely to create unique stages like “Assess”, “Background checks”, “Interview Ready”, “Rejected”, “Hired” etc.
Accessing the Configuration Panel
- To access your Stage details, navigate to the left-hand menu.
- Click on My Organization to open the settings view.
- Ensure that the Stages tab is currently selected.
Rater Automations in Stages
You can configure unique rater settings for each individual stage to control visibility and workload:
- Automatic Assignment: The system can automatically assign specific raters to candidates as they enter a particular stage.
- Hiding Candidates: Candidates can be hidden from all raters in certain stages (e.g., 'Applied' or 'Rejected').
- CEO/Executive Level access: You can set the system so that certain high-level users are only assigned to candidates once they reach the 'Final Interview' stage.
- Rater Inheritance: If a candidate moves to a stage where automatic rater assignment is disabled, they will keep the raters who were assigned to them in their previous stage.
- Permissions Note: System Managers and Administrators added as raters can always see applications, but cannot submit ratings unless they are actively assigned to that stage.
Stage Rules and Constraints
- Mandatory Initial Stage: By default, all raters are assigned to the initial stage, and automatic assignment is initially disabled for other stages.
- Removal Restrictions: Once a stage has candidates assigned to it, it cannot be removed from the project.
- Notification Rules: Moving a candidate to a new stage does not trigger an automatic email notification to the assigned raters. Notifications only trigger when a candidate first completes their application, provided that setting is toggled on.
Setting Up and Applying Stages
You are able to add as many Stages as you want by clicking on the “Add Stage” in the menu.
Here you can add different behaviours and automations against a particular Stage, triggering other functions:
For more information regarding Stage Categories please refer to
this article.
- Hide from Raters - If ticked, a candidate with this Stage would be hidden from your rating Panel.
- Rater can Assign - If ticked, this will allow your raters to assign this Stage to a Candidate after they have rated them. This functionality will also need to be enabled on a Project.
- Note Required - If ticked, this will request a detailed reason why this Stage was given to the particular candidate and can be informative for visibility and feedback.
- Default Project Stage - If ticked, these Stages will be pre-selected for use in projects as assignable application stages, however users can still customize the assignable application stages per Project.
Stages can also be deleted by clicking on the “trash can / delete” icon on the right hand side.
Once you have made the required changes to your Stages click on the “Update Details” button on the top right of the menu.
